PTO Minutes - 11/17/09

King PTO General Meeting

November 17, 2009 

In Attendance:  Diana Cucos, Kevin Karr, Lisa Kohn, Susan Gechter, Becky Gracey, Padmaja Sudhakar, Reates Curry, Gitanjli McRoy, Camille Ziolek, Mariam Manary, Diane Alson
 
Presidents Remarks:  Nothing new to report.  Things are moving along.  Asked for vote on October's PTO General Meeting minutes.   (Minutes approved.)
 
Principal's Report:  Kevin gave special presentation at the end of the meeting on "Reading & Understanding Your Child's Report Card. 
 
Treasurer's Report: 

We saved about $250 on this year's printing of the King PTO Phone Book.

Reminders to pay PTO dues will continue to be sent out.  About 30% of families have paid their dues to date, raising approximately $9,300. 

King Clothing made a profit of about $1,500.

5K totals have not yet been determined.

 

Committees:

Shopping Certificates - Information went home, and orders are due Dec. 2, 2009.  Pass the word.  Order forms will also be left on a table at King Care.

Grocery Store Cards - Talked briefly about setting up a table at Bingo Night to recruit parents to sign up for Kroger Card. 

Borders Book Fair - December 4 - 6.  Sandy Aldrich chairing.  Flyers will be sent home.

Snowman Gift Giving - Rachel Sabb coordinating program for parents to purchase gifts for needy families in the community.  Snowmen will be displayed on main bulletin board on the Monday after Thanksgiving.  Unwrapped gifts will need to be turned in be Dec. 16.

PTO Committees Still In Need of Chairs - Used Book Fair, Healthy Students, Lunch Enrichment, Safety Chair.  If positions do not get filled, programs will not run.

5K - Participant numbers were down from previous years.  Could have used more advertising.  No entertainment…not sure if people minded. 

Creative Writing Workshop - Camille Ziolek says things are going great.  Changes might be needed next year.

 PTOC -  rep Gitanjli McRoy attended council meeting.  King PTO still needs to pay Council dues.  Also spoke about the AAPS Educational Foundation, what it does for the schools and how to make individual donations.

Meeting Adjourned.  The next PTO meeting will be held on 12/8/09 at 7pm.

PTO Exec Board Minutes, 11-5-09

KING PTO EXEC BOARD
MEETING MINUTES, NOVEMBER 5, 2009


In attendance: Kevin Karr, Susan Gechter, Diane Alson

President's Remarks:
Nothing new to report. Things are moving forward.

Principal's Report:
Addressed the importance of updating PTO communication.

Treasurer's Report:
Clothing sales went very well. Will have total profit amounts soon.

Updates & Discussions:
Bagels & Buns – Not breaking even on sales. Difficult to order appropriate amount since no RSVP needed to attend. Make sure chairs advertise event the week of in e-notes. Will continue to monitor to determine if prices should be raised, or possibly discontinue buying buns.

GL Scrips - Rolls out Friday, November 20. Due date will be Wednesday, December 2.

Borders Book Fair - Will be held on 12/4 - 12/6. Things are in good order.

Website Communication - Discussion continues on whether to continue contract with Constant Contact or switch to similar program at lower cost. Susan will ask Kirti to look into the options.

Dick Scott Automotive Group Promotion - PTO will participate in $100 kick-back program at no cost.

PTO Minutes 10-13-09

PTO MEETING
October 13, 2009

President's Remarks Many thanks to Gitanjli McRoy for doing a great job getting the new King PTO phone book out in a timely manner. Great Job!
Also thanks to Sandy Aldrich for pulling the volunteers list together.
The PTO 2009-10 Calendar is included in the new PTO phone book.
C. Grijalva noted that some of the staff changes are not reflected in the new phone book. PTO agrees to send an updated list in Friday Folders.
Thanks to Mylinda Balint and Heather Schweitzer for organizing the teacher dinner during parent-teacher conference night.

Principals' Report
Parent-Teacher conferences continue.
MEAPs have begun.
Drop-off/Pick-up/Parking going well. There are still safety concerns, especially at the intersection of Waldenwood and the entrance to the school driveway.
Safety issues concerning bike riders going too fast near school were also addressed.

Treasurer's Report
Current member dues totals $9,200. Monthly reminders to pay dues will be printed in Enotes.

King of Hearts 5K (10/25/2009)
T-shirt orders are complete. Need parent photographers and first aid providers.

Bagels & Buns Total buns purchased should be cut in half and no meat buns should be bought.

King School Clothing Approximately 340 pieces have been sold. Profits will exceed $1,000.

Shopping Certificates
Great Lakes Scripts program will start up soon and end before Winter Break. There was some discussion of enhancing the Scripts and grocery store programs including more publicity, but no one has volunteered for the job. Programs will remain as they are.

Borders Book Fair (12/4 - 12/6)
Sandy Aldrich will chair.

PTO Committee Chair Positions
Positions still in need of Chairs: Healthy Students, Used Books, Safety, Lunchtime Enrichment

Millage Presentation
Amy Pachera presented Nov. 3 millage information. Laurie Barnett was available to address questions and pass out literature.

PTO Minutes 9-16-09

PTO General Meeting
Minutes - September 16, 2009


President's Remarks
- Welcomed everyone to the meeting.
- Special thanks were given to; Mariam Manary, 1st Day Packets; Lisa Kohn, Welcome (New Families); Sujata Gudari, Welcome Dessert; Camille Ziolek, 1st King Chronicle; Anne Schott, Enotes.
- The PTO calendar will be included in the school directory.
- Announced we will not use King Care at PTO meetings. A former King student(s) will supervise quiet activities for kids in the library during meetings, if necessary.

Principal's Report
- Special welcome to new families.
- Gave thanks to the PTO Board for all the work being done.
- Talked about the smooth start-up to the school year.

Treasurer's Report
- PTO is starting the school year with about a $5,000 deficit. Exec Board is looking at ways to trim back expenses. Ideas for new fundraising ideas and stronger marketing for current fund raising programs were shared. Exec Board will continue working on the budget. The budget will be presented at the October PTO meeting.
- Dues are coming in. Another request for dues will be sent out.

Current & Upcoming PTO Events
- Spirit Wear - new King clothing available for purchase. Orders due Sept. 30, 2009.
- Bagels & Buns - 3rd Friday of every month, from 8:15 am until school begins. There is a need for more volunteers.
-Grocery Card Program - Need more participation. Looking into stronger marketing for this program and for GLScrips.
- Volunteer Forms - Will be in the next Friday Folders.
- King School Directory - Should be available mid-October.
- King of Hearts Family 5K - Will be held on October 25, 2009, beginning at 1:30pm.

PTO Positions Still Open
- Many positions still available, but not necessary for the Exec Board to run.

King Community Input/Questions/Remarks
- Informally talked about how to get more participation in the Grocery Card Program and Scrips.


The Next PTO meeting is scheduled for Tuesday, October 13, 2009 at 7:00pm.

King PTO Executive Board Meeting Minutes, 8/17/09

* Constant Contact vs. G-mail accounts (& e-mail list coordinator)
- Not using Constant Contact to fullest extent
- expensive for just e-mailing when it could be free
- see when Constant Contact contract expires (some time later this fall, we think)
- set-up several PTO g-mail accounts so that we have the ability to send more than one e-
mail/day, if needed
- also set up accounts for Kevin to use
- everyone needs to communicate any e-mail changes as they receive them
- e-mail list coordinator needed
- keep master copy of e-mail lists by class & by oldest & only (or youngest & only)
- try G-mail accounts to see if we like it
- will need to create G-mail accounts for E-notes too

* General PTO Meetings
- 2nd Tuesday of every month (check school calendar, when available to see if there are any conflicts)
- 1st PTO meeting will be on WEDNESDAY, 9/16 (due to Curriculum Night conflict)
- publicize PTO meetings! But reminder of meeting in the E-notes the week before each meeting
- e-mail agenda to King Community on the Thurs. or Fri. before the meeting.
- post agenda at school too
- no King Care at meetings – too expensive for 1-2 kids. Instead, have a middle school
student (former King kid) to supervise kids in library during meeting. Bring games,
paper, crayons. Pay student $5/hour. Susan to notify Heather Brescoll from King Care &
to find “sitters”.

* Exec Board Meetings
- Mondays the week before the General PTO Meetings (8 days before meeting) at
King School from 2:30 pm – 3:30 pm
- Susan to book King School Conference Room w/Mary Greene
- this meeting serves as the Sept. meeting
- any correspondence amongst Exec Board members should be replied to as “reply all” so
everyone can see each others comments/vote
- all Exec Board members to send Susan contact information they wish to share with
Exec Board only (home & cell phone number, preferred e-mail address, etc.). Susan will
type it up & send to board for their use only

* 2009-2010 Budget & PTO Dues
- suggestion was made to increase minimum payment on the King PTO Membership
Dues sheet that goes home in First Day packet to $50. “Other” will remain on the form.
Hope is that we raise a bit more money here.
- Anticipated PTO Membership Dues -- $10,000
- Diana to work on budget & send to us to comment on. Send her comments,
suggestions, etc.
- We’ll need to approve budget before presenting at General PTO meeting.

* First Day Packets
- eliminate all the program flyers (except directory ones) and create smaller ones to go on
one page/double-sided flyer

* Landscaping
- Major landscaping needs to be done around school. Custodians will do some but not all.
- Mary Greene has a person that may be able to clean-up the school to how we all would
like it to look like. Ok for her to get price quote.
- Since no Landscape Chair…let’s try this:
- 2nd & 4th Sunday of every month from 3:00 – 4:30 pm – grab your garden tools
& your kids for a King Family Event – help clean-up our school.
- Take before & after pics.
- Advertise it! E-notes, New Family Welcome Night, etc.
- Need to find people to “host” the event. Can be multiple people (do it once!).

* King School 5K
- date changed to Sunday, 10/25

* Welcome Night for New Families – Wednesday, 9/2/09 at 7:00 pm
- Susan & Lisa will organize the PTO end
- Susan to create postcard to be sent to all new families (e-mail to Lisa)
- Lisa to get postcards & stamps to Mary Greene
- Susan & Lisa to meet Kevin around 6:30 p.m. to see if any rooms are ok to open up to
“see” while on tour (i.e. media center, computer lab, art room, music room, etc.)
- Lisa to send e-mail to new 5th graders to see if anyone wants to be a tour guide

* Welcome Dessert – Thursday, 9/10/09 – 7:00 – 8:30 pm
- no chair but it’s such a good community builder
- Susan to create flyer for First Day Packets (add bring a dessert to it)
- Susan to purchase cups, napkins, plates, forks for event (& set-up water coolers)
- No purchasing of food/drink unless we get another person to take it over
- Kevin to add to calendar if not on already

* King School Spirit Wear
- nothing has been designed in over 4 years
- 3 designs (one for girls, one for boys, one gender neutral)
- t-shirts ($10/$11) & hooded pullover sweatshirts ($20/$22) available
- idea behind 3 logos is that people purchase multiple items since t-shirt & sweatshirt
don’t have to look the same
- samples & order forms will be available at the Welcome Night for New Families
- samples will be in glass case by front door
- table will be set up for orders during Curriculum Night
- orders to be taken through Sept. with delivery of items mid-late October.
- possibly give older t-shirts to incoming Kindergarten class??? AND/OR sell them at the
King 5K at drastic price reduction

* No Chairs for the following events:
- Borders Book Fair (Susan will do it if nobody steps up to do it)
- Bulletin Boards (Mrs. Wayne & Mrs. O’Keefe will use board unless we need it – set up
calendar),
- E-mail List Coordinator
- Healthy Students
- Landscaping (Trying new twice monthly option…King Community is now the chair!)
- Newcomers Network
- Newsletter Editor – King Chronicle

- Teacher Appreciation – WE NEED SOMEONE FOR THIS ASAP!
